Administration volunteer role description
Daily supervision: Therapeutic support programme team office
Accountability: Nursing sister in therapeutic care & therapeutic support programme team
Location: The James Cook University Hospital, Middlesbrough
The aim of the role of our admin volunteers is to provide support to colleagues involved with the delivery of services and other essential activities. The role does not expect volunteers to manage the whole administration service but to provide help and assistance to colleagues, so that local administration is as effective as possible.
Administration volunteers will:
Provide a full range of administration support for patients and staff this may include filing, photocopying and answering the telephone.
Help to maintain stocks of items such as leaflets, booklets and posters.
Handle post and similar correspondence according to local procedures.
Liaise with local administration staff and other colleagues regarding day-to-day administration duties.
Retrieve, collect and deliver case notes within the hospital when required.
Recognising the range of policies and procedures that impact on administration.
Use professional communication skills to converse effectively with a wide range of people.
Welcome patients and visitors to the department in a professional, friendly manner while actively maintaining the security of the area.
Engage with patients and staff and assist with completion of patient surveys.
Assist with the completion of patient focused documentation.
Recognise and respect patient confidentiality.
Present with appropriate work place behaviour.
Use professional interaction when learning to cope with new situations.
Show respect, good manners and workplace etiquette.
Be able to work independently and as part of a team.
Act as an ambassador for the Therapeutic Support Team and promote the service.

Training provided:
Trust corporate training.
Therapeutic Support Programme – Volunteer Induction Training.
IT training – as required and only if necessary to the role.
Donning and doffing of personal protective equipment (PPE).
Your commitment:
Your commitment to this role will be discussed on an individual basis. We ask that all volunteers commit to a minimum of two hours per week.
Support and supervision:
Your first line of support and for any enquiries will be the therapeutic support programme team based in an office outside of wards 1 and 2, Ground Floor,The James Cook University Hospital.
Communications:
The therapeutic support programme team will provide you with any information updates, training opportunities and upcoming events on a regular basis.
Users of the service:
- South Tees Hospitals NHS Foundation Trust staff
- All patients/carers/visitors at South Tees Hospitals NHS Foundation Trust
Uniform:
- Burgundy NHS volunteer polo shirt (provided)
- NHS volunteer badge (provided)
- Black trousers
- Black shoes
